Step 1: Schedule the call. Most importantly you will need to know the date, time, title, expected duration, and name of the host. It is also vital to have a good idea of how many participants will dial in for the meeting so we can staff appropriately to ensure minimal hold times. You will then select from a number of features that can be used during the call or receivables for after the call concludes. Add a webcast if you need to share visual content. Then, let us know any specific instructions we should know to customize the experience. You’ll then be provided with a reservation confirmation containing the dial-in details.

Step 2: Invite Participants to the meeting. Make sure you consider the time zones in which everyone is located, international connection options if they are outside the U.S., and how you will communicate it. The information you will provide them are the “participant” dial-in numbers contained on your reservation. Because the number set is exclusive they only need to dial in and we’ll know exactly which call they’re dialing in for based on that.

Step 3: Connect. The Host and Speakers will dial in on the “Speaker” dial-in numbers, be greeted by an operator, and be joined to the Pre-Conference to go over the call details with the Lead Operator. We have standard scripting that we can read, but you are able to customize any wording we use in the introduction, Q&A session, or conclusion. Once all presenters are connected and the call flow is confirmed you’re ready to begin. If you have an exceptionally large audience dialing in we may recommend a User ID with registration option (callers enter a code) to prevent bottlenecks that can lead to long hold times.

Step 4: Use Operator Assisted call features to customize the presentation delivery and audience interaction.
